We partnered with a charity tackling major hurdles in grant management. Prior to our involvement, the organisation,

  • navigated a maze of files meaning that data was scattered,
  • managed high levels of external enquiries primarily stemming from missed SLAs,

The solution

We devised a tailored, fully integrated grant management system to streamline the entire process, from application submission to project completion, encompassing committees, reporting, and compliance. To ensure a seamless transition, we,

  • conducted comprehensive training sessions,
  • crafted detailed manuals for sustained knowledge,
  • held collaborative discussion sessions to meticulously review all associated processes,
  • clarified roles and responsibilities around the process to ensure maximum team effectiveness and accountability.

We collaborated with an innovative Tech start-up facing, the complexities of managing a fully remote, global team. Faced with the demand to deliver cutting-edge technology, the company sought to enhance overall productivity through a 4-day week pilot program. Taking charge of program management, we implemented a comprehensive strategy for success.

Our Approach

Our cohesive approach involved:

  • interviews with each team member to understand their working methodologies, task dependencies, and escalations,
  • collaborated with external consultants, including experts from the 4-day-week team, HR, finance, and similar programmes,
  • crafted a knowledge base and FAQs to support both leadership and the entire staff,
  • synthesised the research into key pillars—productivity, wellness, and environmental awareness—streamlining the focus on the program's benefits,
  • utilising this wealth of information, we crafted compelling and targeted content, disseminating it through company-wide spotlights and communication channels,
  • finally, to bolster team cohesion and awareness, we infused gamified elements into the pilot initiative. This involved forming mini-teams that collaboratively established agreements for effective collaboration, escalation procedures, and emergency management.


Throughout this initiative, we urged individuals and teams to reassess their 'ways of working,' embracing novel systems, tools, productivity hacks, and refining work planning to minimise waste and prioritise important/urgent tasks.

Organisational Redesign

We teamed up with a highly successful global brand specialising in unique records and events, renowned for its widespread recognition and diverse international presence.  The challenges and needs faced were:

  • the critical need for uniformity in approach, methodology, and policies across all offices and teams, and, 
  • the challenge confronted by the teams in coping with an overwhelming volume of global inquiries, straining responsiveness and impacting engagement and productivity.

The Remedy

To tackle these challenges, we proposed two pivotal changes to the team organisation. 

  1. We proposed forming specialised teams for different subjects, and directing subject-inquiries to the right team. This simplified how the team dealt with questions and empowered them by allowing them to specialise in specific areas.
  2. We introduced team Gatekeepers responsible for internal queries. This not only improved communication and internal SLA management, but also alleviated pressure on the remaining team members, allowing them to focus on their subject queries. The Gatekeepers also had the chance to grow personally and professionally as team leaders and key internal contributors.
